Working for a world wide event management company your role will be to deliver profitable, prestigious client events, ensuring their smooth preparation, planning and organisation throughout the UK and at international venues, exceeding client expectations.
You must have previous event management experience and be able to demonstrate the capability to manage an event project from concept to completion.
Working hours are Monday – Friday 9 – 5.30 however you will be required to be flexible and there is a requirement to work away for up to 70 days per annum for which you will receive additional allowances on top of your salary.
Responsibilities:
Project Management
• Deliver first class customer service in line with clients’ objectives
• Working with Account Manager to add value to clients’ events through advising on beneficial additional services; creative ideas; business solutions and negotiation with 3rd party suppliers in order to achieve maximum contribution.
• Attendance at events to manage/assist in all capacities including client and delegate care to acceptable standards of behaviour and dress.
• Apply knowledge and experience when assisting in searches for suitable venues on clients’ behalf both UK and Internationally.
• Assist with compiling comprehensive and informative written proposals for existing and new clients with support from Account Manager and Sales & Marketing where necessary.
• To carry out site inspections for projects which you are responsible for.
• Make a positive effort to gather knowledge of clients’ products in order to benefit the quality of projects operated and achieve a better understanding of the clients business.
• Build and maintain long term relationships with hotels, venues and suppliers.
Client Liaison and Development
• Meetings and liaison with clients where applicable to establish, maintain and develop relationships
• Identify new opportunities and leads for existing and new business development
• Assist the Account Manager in the implementation of the Business Development Plan
Financial Management
• Prepare and update budgets, producing financial reconciliation for each event with the assistance of the Finance Executive
• Raise invoices for approval by Account Manager
• To demonstrate a thorough understanding of the Expected Contribution Target and provide relevant feedback to the Account Manager.
• Negotiation and agreement of rates with hotels and other suppliers for projects which you are responsible for.
• Ensure that all jobs are administered in accordance with the Company’s Business Practice Policies on client billing and closed off within 6 weeks of the event taking place
• Chase outstanding invoices with the support of the Finance Executive and Credit Controller
Staff Development and Supervision
• Motivate, mentor and develop Account Co-ordinators.
• Brief Account Co-ordinators with information gained from project team meetings or Account Director updates.
• To contribute to recruitment and selection of Account Co-ordinators by attending and participating in interview process.
• Work with Account Director and Manager to organise, plan and prioritise staff and resources to meet objectives and deadlines.
General
• To support colleagues and share information.
• To work within Company Health and Safety policy and procedures and those of each venue.
• To provide 24 hour emergency telephone cover on a rota basis.
• To assist new starters in the role of ‘Buddy’ when required, attending review meetings, ensuring guidance and support for the duration of their probation period and beyond
